Security & data protection

Your students' information,
kept safe.

Parents' phone numbers, medical notes, welfare records, identity documents. This page explains what is protected and who can reach it, in plain words — no technical jargon. If your IT staff want the full detail, we send it to them on request.

01

Your school's records stay your school's

Every school on AcademIQ is kept completely apart from every other. Staff at one campus cannot reach another campus's students — not by searching, not by guessing an address, not by accident. If you run a group, each campus is separate from its siblings too, unless you decide otherwise.

  • One school's information is never visible to another
  • Staff only ever reach the campus they belong to
  • Separation is checked continuously, not assumed
  • Nothing is pooled or shared between schools
02

Everyone sees only what their job needs

A parent sees their own children. A teacher sees their own classes. The front desk can look up a phone number without opening a medical note. You decide what each role can reach, and you can build a role that matches a real job at your school instead of handing someone full administrator access because nothing else fits.

  • Standard roles for staff, parents and students
  • Build custom roles when a job does not fit a template
  • Parents and students see only their own records
  • Change a role once and it applies everywhere
03

Sign-in that resists guessing and stolen passwords

Passwords are stored so that nobody can read them back — not our staff, not anyone who obtained a copy of the data. Repeated wrong attempts lock an account automatically. Staff who handle sensitive records can be required to confirm each sign-in with a second step on their phone.

  • Passwords cannot be read back by anyone, including us
  • Accounts lock themselves after repeated failed attempts
  • Optional second-step confirmation for staff
  • The sign-in page is not linked from this website
04

A record of who did what

A grade changed, a fee waived, a record deleted, a staff account created — each is logged against the person who did it and the moment they did. If a question is ever raised about who altered something, the answer exists and cannot be quietly edited away.

  • Significant actions are logged as they happen
  • Shows the person, the record and the time
  • The log cannot be altered or removed by staff
  • Available to you whenever you need to review it
05

Sensitive documents are locked, not merely hidden

Medical notes, guardian contacts, identity documents and safeguarding records are the most sensitive things a school holds. They are never left somewhere a stray link could reach them. A document opens only for someone whose role permits it, and only for a short while.

  • Documents are never publicly reachable
  • Only a permitted role can open a file
  • Access expires shortly after it is granted
  • Uploads are checked before they are accepted
06

The data is yours, and you can take it with you

Your records belong to your school, not to us. We do not sell them, we do not use them for advertising, and we do not use them to train anything. If you ever decide to leave, everything is handed back to you in full and then removed from our systems.

  • Your records remain your property throughout
  • Never sold, never used for advertising
  • A complete copy whenever you ask for one
  • A written, agreed process for leaving

You decide

Access is something you set, not something you inherit

Who can open a medical note, waive a fee or change a published grade is a decision your school makes — visible on one screen, changeable at any time, and applied the moment you save it. There is also a running list of who currently holds sensitive access, so nothing accumulates quietly over the years.

Straight answers

What we do not claim

Security pages tend to imply more than they say. Here is where AcademIQ genuinely stands, including the parts that are not finished.

Independent review

Booked, not yet complete

An independent security review is scheduled before we open AcademIQ generally. Until it has happened we will not describe ourselves as independently reviewed, and we will share its findings with schools that ask once it has.

Formal certification

Not yet held

AcademIQ does not currently hold a formal information-security certification. The protections described above are in place and tested continuously, but they have not been signed off by an outside body, and we will not imply otherwise.

The detail behind all this

Sent on request

There is a fuller security and data-protection pack for schools under consideration, and your IT staff are welcome to interrogate it. We keep that detail off a public page on purpose — it is of more use to someone probing the system than to someone choosing it.

Ask us anything on the demo call — including for the security and data-protection pack, which goes into more detail than a public page reasonably can.

See it running on your school's terms

Thirty minutes on the live system, driven by your workflows rather than a slide deck. Bring the awkward cases — the mid-year transfer, the sibling discount, the campus that does things differently.
